Membership Responsibilites (Quick View)

* Pay annual membership fee of $10 (updated 3/09) to support the expenses of the co-op. This is due each spring (or upon entering the group).

* Commit to working on a delivery team every three months

* When working delivery, arrive by 1:30 pm; When not working, deliver cooler by 1:30 pm  (or 30 minutes prior to truck arrival- depending on time given)

* Submit food orders by the order deadline (Sunday, 7pm on order due dates)

* Pick up orders after delivery in a timely manner so as not inconvenience the host   family.

* Support positive means for resolving conflicts

* Use group listserve and data base to communicate with other members and post items for case-sharing on a monthly basis

GETTING STARTED – Welcome to Potential/New Members!

** Welcome to Happy Family Co-op’s Info Site! **

We’re so glad to meet you. There are few cooperatives in existence in the Richmond area, and we are thrilled to be in our 6th year (2009!) of ordering, eating, and working together to support companies we love and trust, save money, and promote organic and natural foods/products. (now if we could only help United create a hybrid diesel truck!)

This blog site was created to help all members navigate the cooperative process of ordering and splitting case goods, keep track of important dates, refresh themselves on policy and procedure, and locate their pdf* instruction manuals for United’s online ordering system (New* in 2008!)

Please take the time to review ALL posts on this site and to post any comments you feel might help clarify or improve them. This site is not intended to replace face to face communication between you and your host member (the person/family who brought you to Happy Family), and most questions should be directed to them unless they specifically have to do with your order during a given order/delivery cycle, dues payment and price list/catalog subscription updates.

Please mark your calendar for our upcoming quarterly meeting (see post for dates!) and be sure to keep your yahoogroups! incoming email preference on “individual emails” so you don’t miss out on important updates or messages from the group. Join our YAHOOGROUPS! site, where we split case goods, use group email, and post our contact information (and a few recipes!) ~ once there, click on “Join This Group” and follow steps to create your profile, set email preferences, and submit info be approved. You are required to join Yahoogroups! to become a member of Happy Family Co-op.

If you would like to volunteer for a computer job, host a meeting at your home, or otherwise offer your services beyond ordering and delivery, please post that to the Yahoogroups site!, as ongoing group “conversation” will continue to happen there.

Sponsoring a New Member

What are the procedures/important information to know for sponsoring a new member?

  • The sponsoring household must orient the new member to all ordering and delivery procedures as well as all membership responsibilities. They serve as the first point of contact for all questions, problems, or concerns until the new member officially joins the group.
  • The sponsoring household must notify & train new member on the online ordering system according to United’s pdf* ordering manual.
  • New members must have two order cycles completed with another member before ordering on their own. This allows them to have gradual exposure to the innerworkings of the coop (enterering orders, claiming splits, observing/working delivery and reviewing policy) before actual joining.
  • Potential new members are required to work at least one delivery with their host member before joining. This protects the new potential member (in case they decide it’s too much) and the group, from unpreparedness. * Note * New members are not likely to be added to their host family’s delivery crew team however, as new members are assigned based on space availability and need.
  • Only after the previous orientation steps are taken should that new potential new member submit requests for catalog subscription and personal ordering ID’s. They may join the yahoogroups! list serve at any time after initial interest in the group.
  • New members are committing to a year of ordering each month, even though there is no order minimum. Catalog subscriptions are pro-rated ($15 per year). Membership dues are not. (Also $15 per year).
  • If the co-op is full, then potential new members will be placed on a waiting list. They can join on a first come-first serve basis as spaces open up, as long as the orientation requirements are fulfilled. Names/Info can be added to the Yahoogroups! site Wait List database.

Decision Making

How are decisions made in this co-op?

Major decisions require consensus of all members. Smaller, day to day decisions can be made by the co-op coordinator. Major decisions include: fees and surcharges, change of site, decision to disband group.

Who participates in major decision making?

Active, working members only

When do we re-visit our decisions and renew our agreements?

Members are encouraged to openly discuss their concerns with each other. The yahoogroups website provices an appropriate forum for discussion and communication between order and delivery cycles and between meetings. The co-op holds quarterly meetings on second Tuesdays in Jan., April, July, and October. However, any member of the co-op can call a meeting to discuss any issue of concern to the group.

When decisions on major issues are needed, the Coordinator’s job is to make sure all members have the opportunity to be involved. This can include e-mail and telephone announcements of the issue and the meeting date, with plenty of advance warning. We encourage open discussion of all decisions, and we acknowledge that everyone won’t always agree on everything.
